Ready to host your own webinar? A webinar can be a great business tool to connect with your market, share ideas, show off your expertise, build your brand, grow your leads and make more sales.

Deciding to host a webinar is a smart move. The easy part is deciding to do the webinar, then comes the challenge of figuring out what to do next and how to get set up.

Before we get into how to set up a webinar, let’s touch on just what is a webinar:

A webinar is a live, interactive seminar or conference that is hosted online. A webinar can be hosting in a number of ways and there are various programs available both paid and free.

Now, let’s discuss some of the tools that you might need to host your own webinar:

- Telephone
- Three Way Calling
- Conference Call Line
- Audio Recording Software
- Audio Editing Software (if needed)
- Camtasia
- Webinar Software

How do you choose what setup is best for you?

When planning your webinar you’ll want to consider the following points:

- What tools are you comfortable with using right now – microphone? telephone? audio recording software?
- What webinar programs are you familiar with and like?
- What budget can you work with for hosting webinars?
- How often would you like to host your webinars?

Once you find the answers to these questions you’ll want to use them to research webinar programs for your online event.

Here’s how I do it when hosting a webinar:

1. I have what I want to say laid out in point form notes in front of me on the desk.
2. I use my laptop to log in to the webinar software so I can see what my students are seeing just in case there are any technical glitches.
3. I have my conference call in number ready as well as my audio acrobat call in number.
4. My Camtasia is set to record the screen.
5. My powerpoint (or open office) presentation is open and ready to go.

During Webinar:

1. Dial into conference line.
2. Dial into audio acrobat and start recording.
3. When I am ready to get started with the Camtastia recording I leave a silence and then say “OK, Let’s Get Started” so I can see where to match up the audio with the video when doing the editing.
4. Download the audio file and combine it with the video in the Camtasia editing software.
5. Notify list that download is ready to go.

The process above would need to be modified depending on which software you are using to host your webinar. Some programs host your event completely online which would eliminate the need for a telephone line, audio acrobat and camtasia recordings.

Webcast recording is a necessary skill to learn if you want to pick up repeat clients or land a solid contract with a larger transcription company so you need to know how to digitally record a webcast like online seminars, podcasts and conferences from company websites.

When you do webcast recording, it helps to have a good software recording program to clean up the audio or take out bits that you don’t need. For instance, during a presentation there may some technical difficulty that could cause the audio to stop, so it helps to be able to remove a lot of blank air before you start transcribing.

Or at the beginning of a teleconference, the speakers may all be speaking at once off the record so you can eliminate the first part of the audio before transcribing. Sometimes the audio file is fine, but you just want to tweak it for extra clarity or to boost the volume.

The most popular and most widely used software program that general transcriptionists use for webcast recording is Audacity. This is a small but fast program that’s very easy to use to both record and to do some minor editing of your audio files.

If you need the capability to some extra editing of your audio files before you transcribe them, check out PolderbitS. PolderbitS makes it easy to “chunk” longer audio files into smaller files that are faster to load into ExpressScribe than say a 90 or 120 minute audio file.

While the Audacity program is free to download and free to use, PolderbitS has a free trial then it’s 24.95 euro or approximately $34.25 US to purchase. It’s well worth the investment, however, because sometimes you need to do a little more work on an audio file than Audacity can handle.

But whichever program you choose or even if you decide to use both, Audacity and PolderbitS are two of the best and most popular programs to use for both webcast recording and audio file editing. With easy-to-use interfaces and conversion capabilities, either of these two programs will get the job done just right.

When it comes to holding product demonstrations, employee trainings, or sales meetings, webinar hosting is one of the most efficient ways for you to reach the maximum number of people with the limited resources.

As with all technology, when it comes to webinar hosting, there are many unexpected problems that can arise. Your computer doe not work, the prospect’s computer does not work, or some of your attendees are late. When it comes to hosting online meetings it is best to give yourself and your prospects some lead time to sign into the meeting. Whenever I host a webinar I always send out the invitation to be 15 minute early. This way if we have to trouble shoot any issues I have the ability to communicate effectively alternate solutions, or even walk the people through the process of signing into my meeting.

Not only is setting the meeting time fifteen minutes early advised, but also sending out an agenda. Some webinar hosting providers only allow the presenter to be heard. What does this mean? There is no two way communication between the presenter and the attendees. This can lead to awkward silence as the presenter does not know if the attendees have any questions. Most providers have a built in chat feature that allow the people to submit there questions via text. By providing a written agenda, the attendees understand what will be covered in that meeting and can wait until the questions and answers period to address all outstanding issues.

Lastly, holding a question and answer session is almost a necessity. The presenter should compile a list of the questions that were submitted during the presentation and address each one accordingly. In some situations, the questions are “one off” situations, and I let the individuals know that I will contact them after the meeting to discuss their particular situation. The benefit of compiling a list of questions is that you can address one question from one person, and the rest of the attendees can hear it, and listen to the solution.

Webcast/ Webinar Promotion Article: How to Promote Your Webinar Or Webcast on a Budget

First of all, you should consider starting promoting the webinar 2 to 4 weeks before the delivery date. If it’s sooner, you won’t have enough time, if it’s earlier, the impact will be diminished, since people generally need a sense of urgency in order to act on an offer.

So here are some tips and tricks on how to promote and market your webinar or webcast:

1. Publish your webinar on your blog or website
This is the first natural step. Even if you use an event management website (such as BrightTalk or EventBrite), publish it on your website or blog as well.

2. Optimize your webinar page for search engines (SEO)
Use keywords in the webinar title (however, don’t go overboard and have a 4 line title), in the first paragraph, in links and headlines. It’s also useful to make your keywords bold. Limit yourself to 4 or 5 keywords because, if there are too many keywords, your page relevance for each keywords diminishes. It’s also advised not to repeat a single keyword more than 4 times on a page, it can be considered keyword spam if you do.

3. Send a press release
If you don’t want to pay $80 to $360 to PRWeb.com, there are many sites that publish press releases for free. You can find here a list of 50 press release submission website. Don’t forget advice #2 when writing the press release.

4. Send a newsletter
If you have a subscribers list, don’t be afraid to use it. If you don’t, go to the next advice.

5. Use social media to promote it
Publish your webinar or online event on Facebook and LinkedIn (they allow events posting) and invite people from your network to your event. Post regular updates in Twitter. Post your webinar on forums in that particular field. This is a sensitive topic, you need to be a regular member and post frequently on those forums, otherwise you might be treated as a spammer. Post it on digg, reddit or StumbleUpon.

6. Publish it on website that promote webinars
There are lots of websites that promote webinars and other online events.

7. Create partnerships
Give a discounts or a number of free spots to a partner website’s members in exchange for promoting your webinar or web conference. Do cross promotions: you promote your partners’ products (books, online events or even webinars), they promote your webinars.

8. Notify your contacts
Send them an email or, better yet, place a link to the webinar in your email signature. It’s a good way to advertise a product to your contacts without being intrusive. They might just be interested in your webinar or recommend it to someone else who is interested.

9. Publish a video teaser on YouTube
YouTube is being used more and more as a search engine. It’s well indexed by Google (actually, it belongs to Google) and will help you get more visibility.

10. Start a contest
In order to generate interest (and even quality links) you can start a contest, offering either a free spot, a free product or service or anything else you thing others might value.

11. Paid advertising
And the last resort, pay for advertising:). You might use some PPC (pay per click) advertising networks such as Google AdWords.
