Article: Webinar Hosting Tips

Webinars are an easy and efficient way to increase your reach, increase your sales, and increase your overall productivity. When it comes to holding product demonstrations, employee trainings, or sales meetings, webinar hosting is one of the most efficient ways for you to reach the maximum number of people with the limited resources.

As with all technology, when it comes to webinar hosting, there are many unexpected problems that can arise. Your computer doe not work, the prospect’s computer does not work, or some of your attendees are late. When it comes to hosting online meetings it is best to give yourself and your prospects some lead time to sign into the meeting. Whenever I host a webinar I always send out the invitation to be 15 minute early. This way if we have to trouble shoot any issues I have the ability to communicate effectively alternate solutions, or even walk the people through the process of signing into my meeting.

Not only is setting the meeting time fifteen minutes early advised, but also sending out an agenda. Some webinar hosting providers only allow the presenter to be heard. What does this mean? There is no two way communication between the presenter and the attendees. This can lead to awkward silence as the presenter does not know if the attendees have any questions. Most providers have a built in chat feature that allow the people to submit there questions via text. By providing a written agenda, the attendees understand what will be covered in that meeting and can wait until the questions and answers period to address all outstanding issues.

Lastly, holding a question and answer session is almost a necessity. The presenter should compile a list of the questions that were submitted during the presentation and address each one accordingly. In some situations, the questions are “one off” situations, and I let the individuals know that I will contact them after the meeting to discuss their particular situation. The benefit of compiling a list of questions is that you can address one question from one person, and the rest of the attendees can hear it, and listen to the solution.

These are just a few tips on hosting effective online meetings. If you are interested and would like to know more about webinar hosting, see our comparison on webinar providers.

Webcast/ Webinar Promotion Article: How to Promote Your Webinar Or Webcast on a Budget

First of all, you should consider starting promoting the webinar 2 to 4 weeks before the delivery date. If it’s sooner, you won’t have enough time, if it’s earlier, the impact will be diminished, since people generally need a sense of urgency in order to act on an offer.

So here are some tips and tricks on how to promote and market your webinar or webcast:

1. Publish your webinar on your blog or website
This is the first natural step. Even if you use an event management website (such as BrightTalk or EventBrite), publish it on your website or blog as well.

2. Optimize your webinar page for search engines (SEO)
Use keywords in the webinar title (however, don’t go overboard and have a 4 line title), in the first paragraph, in links and headlines. It’s also useful to make your keywords bold. Limit yourself to 4 or 5 keywords because, if there are too many keywords, your page relevance for each keywords diminishes. It’s also advised not to repeat a single keyword more than 4 times on a page, it can be considered keyword spam if you do.

3. Send a press release
If you don’t want to pay $80 to $360 to PRWeb.com, there are many sites that publish press releases for free. You can find here a list of 50 press release submission website. Don’t forget advice #2 when writing the press release.

4. Send a newsletter
If you have a subscribers list, don’t be afraid to use it. If you don’t, go to the next advice.

5. Use social media to promote it
Publish your webinar or online event on Facebook and LinkedIn (they allow events posting) and invite people from your network to your event. Post regular updates in Twitter. Post your webinar on forums in that particular field. This is a sensitive topic, you need to be a regular member and post frequently on those forums, otherwise you might be treated as a spammer. Post it on digg, reddit or StumbleUpon.

6. Publish it on website that promote webinars
There are lots of websites that promote webinars and other online events.

7. Create partnerships
Give a discounts or a number of free spots to a partner website’s members in exchange for promoting your webinar or web conference. Do cross promotions: you promote your partners’ products (books, online events or even webinars), they promote your webinars.

8. Notify your contacts
Send them an email or, better yet, place a link to the webinar in your email signature. It’s a good way to advertise a product to your contacts without being intrusive. They might just be interested in your webinar or recommend it to someone else who is interested.

9. Publish a video teaser on YouTube
YouTube is being used more and more as a search engine. It’s well indexed by Google (actually, it belongs to Google) and will help you get more visibility.

10. Start a contest
In order to generate interest (and even quality links) you can start a contest, offering either a free spot, a free product or service or anything else you thing others might value.

11. Paid advertising
And the last resort, pay for advertising:). You might use some PPC (pay per click) advertising networks such as Google AdWords.

Make Own Webcast – 2 Methods of Webcasting Explained

September 14th, 2010

This article, 2 Methods of Webcasting Explained to Ensure the Best Business Decision, goes into good detail on the 2 main ways you can make your own webcast.  Using your own computer and using an online service.  Both methods have their plusses and minuses to them.  In any case, once you have decided what you want to do, your solutions are set for you.  For instance, if you have a Mac, then most of the time an online option is more appropriate because much of the webcast software that runs on computers is made for PC’s only.  Read on for more about how you can create your own webcast.

Webcasting is affordable even for small businesses and entrepreneurs. The beauty is that even with a free service your reach is unlimited. (Although the number of viewers in your audience will have limits).

Now there are 2 types of live webcasting methods:

  • Using a software on your computer that allows you to webcast live.
  • Using an online service that requires really no need to install a webcasting software on your computer. (I am not referring to a player plugin like Flash)

Software on your computer – For most entrepreneurs and small businesses installing another piece of software on your computer is like gambling… will it work or not? In all fairness, the experience I have had with installing these types of software, requires an IT person or you must have a good knowledge of setting firewall proxies and not opening a port to allow the webcast software broadcast out.The advantage to using a computer based software is:

  • You decide who will stream (broadcast) your webcast. ex: Akami, Rogers, etc…
  • It can be a top end quality in that you can even get TV broadcast quality, stand alone hardware that makes this a real pro-HD production

The Cons:

  • Cost (can be very costly for the equipment and staff)
  • Need IT expertise
  • You will also need to know the ins and outs of the industry for suppliers and contacts to get it right.

Using online services — For the individual and SMB, this is the easiest. You just need:

  • to setup your webcam and microphone.
  • get an account with a webcasting service. (The one I use is JustIn.TV)
  • plan the webcast
  • and invite your audience.

Now one of the nice features that you want to make sure you get in a service is a login as a viewer option. With this option you can make your webcast private or public viewing. For example, I have set up an account for a promotional items company that needs to have a sales meeting once a week with their sales team in 4 different locations.

The main office holds the meeting at 9 AM on Mondays. The sales offices login at 9 AM and they see and can interact with the meeting by chat, email or phone. (They use skype for the calls) Attendees from the sales office really benefit because they can brainstorm with there counterparts and save the time and expense of travel.

The advantage to using an online service are:

  • You do not need to install any extra software on your computer
  • Other than accepting the flash player to connect to the online service (a pop up that asks if you accept), there is nothing else to do to get started
  • It’s quite simple to use.

The Cons:

  • You will be limited in the number of viewers at any given time. (Although I noticed that Dvorak, a well known IT guru, has several hundred at one time. So unless you have thousands of viewers, this won’t be a real issue
  • If you don’t pay to upgrade, the your channel page, where your audience goes to view the webcast, will have some ads.

Webcasting is now truly affordable and it is an excellent tool for both promoting and training. Certainly, getting started with a free service is a great learning tool and the possibilities are only limited by your imagination.

GoToWebinar Service Review – Is It Truly All the Software You Need to Run a Webinar

September 8th, 2010

Even though GOTOwebinar recently changed its pricing packaging, it still offers a great solution to online meetings and a solution as webinar service.  As far as it being the only software that is needed….  I am not sure about that, especially for Mac users.  You see, GOTOwebinar has this annoying habit of not being able to record the webinar if you are a Mac user.  Most everything else works, but one of the most IMPORTANT functions for a webinar service is to be able to record the webinar.  I have been in touch with them over the last year, but they keep saying it is on their ‘to do’ list.  The more requests they get from Mac users, hopefully, the higher up it will be.  Needless to say, If you are a Mac user, I wouldn’t recommend this as a webinar software platform, for that major reason alone.  Anyway, here is the article that talks about this webinar service.

If you are preparing your first webinar you probably have questions about what kind of software that you need. GoToWebinar is stand-alone software technology that allows you to present your live, online presentations for promotional, teaching or other purposes.

It can be helpful to have a few tools to assist you with your presentation. A web browser, PowerPoint and Camtasia Studio are programs that can facilitate your presentation and make it more effective.

Your web browser can be a powerful tool for use in a webinar. You can show your web browser on your screen and use it as an aid to show people how to navigate around a site and use its features. You can show them how to send email or messages, fill out forms, place ads and perform many other tasks. During your presentation you can take people to a URL that you are promoting so that people can learn more about you and the products that you offer. This is a good way to highlight an item or service that you want to bring to their attention.

There are a variety of presentation tools available that can be used in a webinar. Some of the more popular include PowerPoint from Microsoft, Keynote for Mac and the free open source tool at OpenOffice. PowerPoint uses a simple bullet point format that lets you easily keep track of what’s on your screen. This allows you to concentrate on your presentation and not worry about what is showing on the screen.

The recording software at GoToWebinar is functional but not of the highest quality. If you are concerned about getting the best quality sound you might consider using software like Camtasia Studio. This high quality sound recording program is excellent and it also gives you the ability to edit your recording in many ways. You can transfer it to a CD or to your website or blog. It can be edited for use as a podcast or used for transcription.

In conclusion, GoToWebinar is a powerful, stand-alone technology for your presentations on the web. It is enhanced by the use of programs such as your web browser, PowerPoint and Camtasia Studio.
